Open Position: Finance & Office Assistant

24 hours per week - up to 40 hours per week when needed

Full Wage Range: $21.90 - $27.61 per hour

Hiring Range: $21.90 to $24.52 per hour DOQ

JOB SUMMARY:  This position will primarily be focused on financial management, in include preparing vouchers for payment and invoices for billing; tracking project expenditures and revenue collection; preparing reports to communicate the financial balance of projects and overall Weed Board budget; collecting and inputting programmatic data and pulling reports to track project progress, and collecting and submitting staff payroll & travel vouchers among other financial tasks. Other duties will include assisting wit organizing Weed Board meetings, answering phones, assisting with educational events and other general office tasks.

Essential Job Functions:

  1. Financial Management:
    • Handle accounting, payroll, audits, and budget drafts.
    • Track and manage grant and program revenue, expenditures, timelines, and in-kind contributions.
  2. Public Interaction & Education:
    • Respond to public inquiries about weed control methods and legal requirements.
    • Use approved materials for herbicide recommendations.
  3. Policy & Database Management:
    • Maintain and update Weed Board procedures and policies.
    • Enter data into the Weed Base database, prepare inspection notices, and ensure accurate tracking of control projects and legal documentation.
  4. Regulatory Compliance:
    • Ensure adherence to RCW 17.10 and Weed Control Board policies.
    • Enforce regulations when contacting landowners, inspecting properties, and handling enforcement steps.
  5. Special Projects & Reporting:
    • Assist with special projects like the Annual Report and educational programs.
  6. Office Administration:
    • Perform tasks such as answering phones, ordering supplies, auditing timesheets, drafting correspondence, and organizing Board meetings.
  7. Other Duties:
    • Perform additional tasks as assigned by the Coordinator.
    • Follow all County policies and procedures.

Minimum Qualifications:

  • Education & Experience:
    • Associate degree with 2 years of experience, or 5 years of experience in accounting or a related field (grant management preferred).
    • Additional training in weed or plant sciences, agriculture, ecology, or entomology is preferred.
  • Skills:
    • Proficient in English (reading, writing, speaking).
    • Advanced computer skills, including Microsoft Office and accounting software; GIS experience is a plus.
    • Ability to work independently with minimal supervision.
  • Licenses & Certifications:
    • Preference for a Washington State Department of Agriculture Public Pesticide Operator’s license with relevant endorsements (not required).
  • Other Requirements:
    • Pass background and driving record checks.

Working Conditions:

  • Primarily office-based with periods of standing, sitting, and kneeling.
  • Ability to lift and carry up to 50 pounds.
  • Some fieldwork may involve navigating uneven terrain while carrying equipment.
